How we handle the information you share with us, from your first enquiry to your finished wedding films.
Who we are
MJ Productions Co is a Melbourne-based wedding videography business operated by The Trustee for MJ Family Trust, ABN 72 431 464 123. In this policy, “we”, “us” and “our” refer to that operator.
This policy explains how we handle personal information through our website, enquiries and videography services. For questions or privacy requests, contact Martin at hello@mjpro.com.au.
What we collect and why
When you enquire, we collect the information you provide, such as your name, contact details, wedding date, venues, approximate budget, preferred collection, priorities and how you heard about us. We keep relevant correspondence so we can respond and discuss suitable coverage.
If you book, we also handle the information needed to plan and deliver your films, including schedules, agreements, payment and delivery records, footage, photographs and recorded sound. Images and voices can identify couples, guests and suppliers, including children attending the celebration.
We use this information to answer enquiries, prepare quotes, manage bookings, plan coverage, create and deliver films, manage revisions, keep necessary business records and resolve questions or complaints. Referral answers help us understand how people find MJ Productions Co.
We collect information through our enquiry form, email, conversations and filming. We may also receive relevant details from your partner, planner or another person you authorise to coordinate your booking. Please make other people aware of this policy before sharing their details with us and share only what is needed. We remain responsible for considering how we handle that information.
Cultural, religious or accessibility details may be sensitive. You can discuss with Martin what is necessary to share for your coverage. Optional enquiry details can be left blank, although without sufficient contact, date and venue information we may be unable to respond fully or prepare an accurate quote.

Access to personal information is limited to people who need it for the relevant work. Where someone helps us provide an agreed service, we share only the information needed for that work. We may also disclose relevant information where required by law or necessary to obtain professional advice or resolve a dispute, subject to applicable law.
Our online providers have their own privacy information: Webflow, Studio Ninja, Google and Vimeo. Their policies explain their practices; they do not replace our responsibility to explain MJ's handling of your information.
Overseas processing
Using online providers can involve processing outside Australia. Webflow and Vimeo describe processing in the United States and other countries. Google operates servers internationally. Studio Ninja's published policy identifies the United States, United Kingdom and Ukraine among possible recipient countries.
Locations depend on the service and its providers; this does not mean every record is sent to every country listed. Contact Martin if you would like more information about the services handling your information.
Website technology and marketing
Loading our pages, embedded enquiry form or videos can send technical information, such as your IP address and browser information, to the relevant provider. Forms and video players may use cookies or similar technologies for operation, security, preferences and measurement. Browser cookie settings can limit some collection, but blocking cookies may affect the form or player. Vimeo explains its player cookies here.
Analytics and advertising measurement
We use Google Analytics, Google Ads and Meta's pixel in selected regions to understand visits and measure our advertising. These services can receive IP addresses, browser and device information, cookie or advertising identifiers, the pages viewed and their addresses, referral information and enquiry-related events. Google and Meta process information under their own terms and may process it overseas. We do not intentionally send the answers in your enquiry form, your name, email address, phone number or wedding details through these measurement tags.
Optional measurement is limited by region. Where it is unavailable, required permission is missing, or we cannot establish eligibility, these tags stay off; you can still browse and enquire. Google Tag Manager loads to manage the tags and restrictions. That download connects your browser to Google, including connection and IP information, even when measurement tags remain blocked.
Our enquiry event estimates that someone has completed the enquiry journey. It is not confirmation of an accepted enquiry or booking. We use these estimates to assess advertising and help Google and Meta optimise advertising delivery. We do not enable Google's advertising-personalisation features or send customer details for enhanced/advanced matching in this release. Those settings do not control all processing Google or Meta undertakes under its own policies.
Your measurement choices
You can turn off optional measurement on this browser using the control below. We also treat a supported Global Privacy Control signal as a request to turn it off. A saved choice applies to this browser; clearing storage or using another browser may remove it. Turning measurement off stops further measurement from our tags but does not delete data already received by a provider. Form and video services have their own technical processing, explained above. Mailchimp is being considered for future email marketing. It is not described here as an active provider. Before using it, we will update this notice and explain its role. Promotional emails will be sent with appropriate consent, identify MJ Productions Co and provide a working way to unsubscribe. We will honour unsubscribe requests within five working days. Making an enquiry is not blanket permission for unrelated marketing. Enquiry replies and communications needed for your booking are separate from promotional campaigns.
Wedding films and public use
Permission to use a client's film publicly is agreed through our client contract. Public use must remain within the permission agreed for that work; this privacy policy does not itself grant permission to publish a film, photograph or testimonial.
Where your contract authorises public use, selected portfolio films may remain online beyond the two-year client archive period, within the permission agreed for that work. The two-year archive limit does not apply to those approved public portfolio copies. This does not extend the archive or download availability of other client files.

How long we keep information
Our standard enquiry and client-archive retention periods are:
- Unbooked enquiries: five years from the last enquiry contact.
- Archived client footage: two years from the wedding date.
- Finished edits held online for client delivery/archive: two years from the wedding date, using Vimeo.
- The hard-drive archive backup of finished edits: two years from the wedding date, alongside the online client copy—not an additional two years after online storage ends.
- Approved public portfolio films: may remain online beyond two years within the permission agreed in your contract, as explained above.
Storage and client download availability are different. These retention periods do not extend the download window in your collection agreement or replace your responsibility to keep a copy of your delivered films.
We will review whether personal information remains necessary and delete or de-identify it when it is no longer needed, unless a relevant legal obligation or unresolved matter justifies retention. Contracts, invoices and other business records are considered separately according to applicable legal requirements and the purpose for which they are needed. A standard retention period does not prevent us from considering an earlier privacy request.
Security
We take reasonable steps to protect personal information held in our service accounts and on physical drives from loss, misuse and unauthorised access. No online service or physical storage method is risk-free. Please contact Martin promptly if you believe your information or a film-delivery link has been accessed inappropriately.
Access, corrections and complaints
You can ask what personal information we hold about you, request access or correction, or ask us to consider deletion by emailing hello@mjpro.com.au. We may need to verify your identity and consider other people's privacy before responding. If we cannot fulfil a request, we will explain the reason, including any relevant retention requirement.
To make a privacy complaint, tell Martin what happened and how you would like it resolved. We will acknowledge and investigate the complaint and aim to respond within 30 days. If more time is needed, we will explain why and provide an expected response date.
If you remain concerned, you can seek guidance from the Office of the Australian Information Commissioner. Whether it can handle a complaint depends on its jurisdiction.

We will update this page when our information-handling practices change and show the updated date. Contact us if you would like an explanation or a copy of the policy.
